Asset Groups

Asset Groups

Moving assets into groups

The “Default Group” includes every other Group. If a user is assigned to view the Default Group then they will be able to view everything inside it.

To place an asset inside a group simply click the group you want the asset to go to, then select the asset from the Available Assets list on the left and click the > (single arrow pointing to the right) button. If you want to remove the asset from the group click the opposite arrow. To place all the assets inside the group then click the (double arrow) >> button. Same for removing all the assets.

Note: If the desired group is selected but the asset is not appearing on the Available Assets list then the selected group is a Child Group and the asset must be first put inside the Parent Group of the selected group.

Assigning users to groups

To assign a user to a group simply selected the desired group and then tick the box next to the user.

Note: If the desired group is a Parent Group (meaning it has other groups inside it) then the user will be able to see all the Child Groups of the selected group.

Weekly Report (automated)

Weekly Report

Creating an Scheduled Report (automated)

To create a scheduled report that will be received weekly automatically, go to REPORTS and selected the “Scheduled & Custom” tab.

Step 1.

  1. Report Name: Enter a name for the report. Note that the name will be the email’s title, therefore we suggest to use the Asset’s name for easier search in the future.
  2. Select Report: select the “Weekly Summary Report” from the drop down list.
  3. Show me data for: select “Last 7 Days” from the drop down list. That way every time a report is received it will display the 7 days before.
    • Optional Time Range Filter: select a Time Range Filter to only show specific time frame of the day.

Step 2.

  1. Assets: select “All Assets” to display all the assets that are available.
    • From the list select the Asset that will be reported weekly.
    • Note: we do not recommend that you select all the assets in 1 report for 2 reasons:
      • If there are more than 3-5 assets then the report will be confusing and very heavy as a file to be sent/created.
      • In step 1 we recommended to add the Asset Name in the title of the report so that in the future the reports can be sorted by a quick search in the email inbox using the Asset Name.

Step  3.

  1.  Schedule Report: Yes.
  2. Send Report: Select “Weekly” from the drop down list.
  3. Start On: enter a future date. Note that this will be the day of the week the report will be received. (For example: if a future Monday is selected then the report will be sent automatically every Monday).
  4. At this time: The time of the day the report will be sent.
  5. Format: PDF (Suggested)
  6. Send to these people: Select to which user the report will be sent to. If “Me” is selected then the report will be sent to the account currently logged in.

Save the report.

This procedure can be repeated for each asset.
